SwiftLedgr POS ("the App") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the App, including all features, content, and services offered.
Please read this Privacy Policy carefully. By accessing and using SwiftLedgr POS, you acknowledge that you have read, understood, and agree to be bound by all the terms of this Privacy Policy.
1. Information We Collect
1.1 Data You Provide Directly
- User Account Information: Email address, password (hashed), name, phone number
- Business Data: Customer names, contact information, product inventory, sales transactions, financial balances
- Subscription Information: Payment details (processed through Google Play), subscription tier, purchase history
- Camera Input: Barcode/QR code images (processed locally, not stored on servers)
- Contact Information: Access to device contacts (only with your permission) for customer CRM integration
1.2 Data Collected Automatically
- Device Information: Device model, OS version, app version, unique Android ID
- Usage Analytics: Features accessed, transaction frequency, app crash reports
- Camera & Location Data:
- Camera permission is OPTIONAL; the app functions fully without it
- Camera is used solely for barcode scanning and processed entirely on-device
- No location data is collected
1.3 Payment & Billing Data
Google Play Billing: All financial transactions are processed securely through Google Play. We collect and store:
- For Prepaid Plans: Purchase tokens and expiration timestamps to verify your access duration.
- For Auto-Renewing Plans: Subscription status, renewal dates, and payment tokens required for continuous service.
We do not store your credit card numbers or direct payment methods. These are transmitted directly to Google Play.
2. How We Use Your Information
2.1 To Provide App Services
Process sales and manage POS transactions; store customer profiles and transaction history; generate sales reports and analytics; provide barcode scanning functionality; manage subscription billing and access control.
2.2 For Authentication & Security
Verify your identity via Firebase Authentication; enforce subscription access control; detect and prevent unauthorized access; validate purchases with Google Play Developer API.
2.3 To Improve the App
Monitor app performance and crashes (via Firebase Crashlytics); analyze feature usage patterns; debug errors and optimize functionality; plan future features based on usage insights.
2.4 For Compliance & Legal Purposes
Comply with applicable laws and regulations; respond to legal requests; protect against fraud and abuse.
3. Data Protection & Storage
3.1 Local Storage (Device)
- Room Database: All POS business data is stored encrypted on your device
- Offline Access: Local data is never deleted due to subscription expiry
- Encryption: Sensitive data in shared preferences is stored securely
3.2 Cloud Storage (Firebase)
- Firestore: Contains only subscription status and access control information, not POS business data
- Firebase Authentication: Manages user identity and secure login tokens
3.3 Backup Rules
Excluded from Android Backup:
- Firebase authentication tokens
- Billing and subscription data
- OAuth credentials
- All payment-related identifiers
Included in Android Backup:
- Customer and product data (for recovery after device reset)
- Sales transaction history
- App configuration and preferences
4. Subscription Billing
4.1 Billing Provider
All billing is handled by Google Play Billing. We do not store, process, or have access to your payment method details.
4.2 Hybrid Subscription Model
We offer two distinct ways to access premium features to ensure user choice and transparency:
- Prepaid Plans (Default): These are one-time purchases for a fixed duration (1, 3, or 12 months). These plans do not auto-renew. Your access will expire automatically at the end of the term unless you manually purchase a new plan.
- Auto-Renewing Plans: If you opt-in to auto-renewal, your payment method will be charged automatically at the end of each billing cycle. You may cancel this at any time.
4.3 Authorization & Management
- Verification: We verify all purchases via the Google Play Developer API.
- Cancellation: For auto-renewing plans, you can turn off auto-renew at any time via the Google Play Store. To avoid the next charge, cancellation must occur at least 24 hours before the end of the current period.
- Management: A "Manage Subscription" link is provided in the App Settings to direct you to your Google Play account.
4.4 Subscription Access Control
- Single Device Policy: One subscription = one active device.
- Offline Grace Period: You retain full access for 24 hours offline; access is limited after 48 hours until online verification occurs.
- Expiry Enforcement: Upon expiry, you will be unable to process new transactions, but your local POS data remains on your device.
5. Third-Party Services
We use Google Play Services for billing, Firebase for authentication and database, and Firebase Crashlytics for error monitoring.
6. Data Sharing & Disclosure
We do NOT sell your personal information. Data is only shared with third-party service providers (Google Play, Firebase) as needed for payment processing and app stability.
7. User Rights & Controls
You have the right to access, delete, or export your data. Uninstalling the app clears all local data; for account deletion, contact support.
8. Children's Privacy
SwiftLedgr POS is not intended for users under 13 years old.
9. Data Retention
POS business data remains on your device until the app is uninstalled. Subscription and authentication data is retained for the lifetime of your account.
10. Security Measures
We use HTTPS/TLS for data in transit and SQLCipher encryption for data at rest on your device.
11. International Data Transfer
Data is hosted on Google Cloud Platform and may be transferred internationally.
12. GDPR & CCPA Compliance
Users in the EU/California have specific rights to access, rectification, and deletion. Contact us at support@4thtec.com to exercise these rights.
13. Updates to This Privacy Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last Updated" date. Your continued use of the app after changes constitutes acceptance of the new policy.
